CondoGenie uses **User Groups** to control what each person can see and do. Understanding how roles work helps you set up the right access for each resident.
## How it works
Every user in CondoGenie belongs to one or more **User Groups**. The group determines:
- Which features they can access (Forum, Classifieds, Requests, etc.)
- Whether they can post, comment, or only read
- Which documents and announcements they can see
- Whether they get notified of new content
## Default user groups
CondoGenie comes with these default groups:

| **Owner** | Unit owners | Read announcements, post in forum and classifieds, submit requests, view documents, book amenities, reserve parking, view calendar, submit forms |
| **Renters Tenants** | Renters amd Tenants | Same as Owner by default — can be restricted |
| **Board Members** | Board directors | Full access to all features including administration |
| **Property Manager**s | Building managers | Full access to all features including administration |
| **Administrators** | Main administrator of the acount | Full access to all features including administration |
> **Note:** Your board may have renamed or customized these groups. The names and permissions are fully configurable.
## What each permission level means
When editing a User Group, you'll see these settings for each feature:
- **No access** — The feature doesn't appear in their navigation at all
- **View only** — They can see the content but not post or interact
- **Create** — They can create new content (posts, requests, classifieds)
- **Edit** — They can edit (posts, requests, classifieds)
- **Delete** — They can delete (posts, requests, classifieds)
## How to check or change a user's group
1. Go to **Administration** → **User and Residents**
2. Click the user's name
3. Under **User Groups**, you'll see which group(s) they're in
4. To change: click **Edit** and select a different group
## How to edit a user group's permissions
1. Go to **Administration** → **User Groups**
2. Click the group you want to edit
3. Review and adjust the permission level for each feature
4. Click **Save**
## Common permission scenarios
**"A resident says they can't post in the forum"**
→ Their User Group likely has Forum set to "View only." Edit the group or move the resident to a group with posting access.
**"A tenant can see owner-only documents"**
→ The document's category is visible to all groups. Edit the document category visibility under Administration → Global Settings.
**"A new board member can't access administration"**
→ Make sure they're in the Board Member group, not just the Owner group. Update their group assignment.
**"I want some residents to have no access to classifieds"**
→ Create a new user group with Classifieds set to "No access" and assign those residents to it.
## Adding a user to multiple groups
A resident can belong to more than one group. Their effective permissions are the **most permissive** combination across all their groups.
Example: A resident in both "Owner" (view-only forum) and "Community Committee" (full forum access) will have full forum access.
