Tasks and Requests are two different tools in CondoGenie that work together. Understanding which one to use — and who can use each — prevents a lot of confusion. ## Who can create Tasks? **By default, only administrators, board members, and property managers can create Tasks.** Owners and Tenants do not have Task creation access by default. This is intentional. Tasks are for internal work tracking used by the board and management team. ## Who can view Tasks? By default, only administrators, board members, and property managers can view Tasks. By default, owners, tenants or residents do not have access to view Tasks. If you want to confirm or change this for your condo: 1. Go to **Administration** → **User Groups** 2. Click the **Owner** or **Tenant** group 3. Check the **Tasks** permission setting 4. Adjust if needed > **Note:** Giving owners Task creation access is unusual. Most condos keep Tasks restricted to admin/board only and use Requests for resident-submitted issues. --- ## How residents flag issues: the Requests feature If owners or tenants need to report a maintenance issue, submit a question, or flag something that needs attention, they can use the **Requests** feature. **The flow works like this:** 1. **Resident submits a Request** — they describe the issue, choose a category, and attach any photos 2. **Board or admin reviews the Request** — they see it in the Requests or Tasks section depending on the plan. 1. *If your account has the Tasks feature, CondoGenie automatically creates a Task and the proper users, based on the Task Category, can act on it.* 3. **The Task or Request gets tracked and completed** — like any other task This keeps residents informed and gives the board a structured way to manage incoming issues — without letting residents create Tasks directly. --- ## How to enable Requests for residents If residents can't see the Requests page: 1. Go to **Administration** → **User Groups** 2. Click the **Owner** group (and **Tenant** group if applicable) 3. Find the **Requests** permission 4. Set it to **View and Create** 5. Click **Save** Residents will now see **Requests** in their navigation and can submit issues. --- ## How to convert a Request into a Task If your account has the Tasks feature, when a Request is submitted by a user it is automatically converted into a Task. If your account doesn't have the Tasks feature, then the Request stays a Request which you can act upon.
