This guide explains how to **create a new Task**, including category selection, automatic notifications, due dates, recurring schedules, and building/unit assignment. For a feature overview, see [[Tasks Overview]]. --- ## Prerequisites - You must be part of a [[User Groups Overview|User Group]] that has access to manage Tasks - (Optional) **Task Categories** configured in the **Administration** section under **Task Category**, with responsible users assigned. - (Optional) **Projects**, **Buildings**, and **Units** configured if you want to associate the task with them. --- ## Steps to Create a Task 1. Open the **Tasks** page. 2. Click the **Add New Task** button. 3. Select a **Task Category**. - Categories are customizable in the **Administration** section under **Task Category**. - When a category is selected, all users responsible for that category (per the administration configuration) will be **notified and assigned** the task automatically once it is created. 4. Enter a **Subject** for the task. 5. Enter a **Description**. 6. (Optional) Click **Choose File** to attach a file to the task. 7. Set the **Due Date**: - The default due date is **one week** from today. - Click on the date to choose a different completion date. 8. (Optional) For a **recurring task**: - Select the **Recurring Schedule**. - Set the **start date** and **end date** of the recurring schedule. 9. (Optional) Associate the task with a location: - Select a **Building**, and - Optionally select a **Unit** within that building. - If the task is not associated with a building or unit, leave these blank or remove them. 10. Click the **Create Task** button. The new task is added to the Tasks list. Its position in the list is determined by its **due date** — tasks with earlier due dates appear higher. --- ## What Happens After You Create a Task - All users responsible for the selected **Task Category** are **notified** and **assigned** the task. - The task appears on the [[Tasks Overview|Tasks]] page, color-coded by urgency (**red** = overdue, **orange** = due within a week). - You can immediately open the task to add comments, log time, or attach more files. See [[Adding Comments and Logging Time on Tasks]] --- ## Tips - **Pick the right category.** The Task Category drives who gets notified, so choosing the correct one ensures the right people see the work. - **Use the default due date sparingly.** Adjust the due date to reflect the real urgency so the color-coded list stays meaningful. - **Use recurring schedules for repeat work.** Inspections, filter changes, and seasonal maintenance are good candidates. - **Attach context up front.** Adding photos, quotes, or RFPs to the original task saves time later. ---
